Terms and Conditions
Please read these Terms and Conditions carefully before accessing our website or using our services.
Welcome to our website. We provide visa processing, digital photo processing, and related support services (collectively, the "Services"). This website is a private platform and is not owned, operated, sponsored, endorsed, or affiliated with any government or governmental agency. By accessing and using our websites and mobile applications, where available, you agree to be bound by these Terms and Conditions and any future revisions. We may update these Terms and Conditions at our discretion, and the revised version will take effect when it is published on this website.
Certain services available through our platform may include additional terms and conditions. Those terms are presented within the relevant service and may be updated periodically. You are responsible for reviewing all applicable terms, including our Privacy Policy. By using our Services, you confirm that you have read, understood, and accept all applicable terms and conditions.
Access and Use of the Service
- Registration Obligations
To access certain features of the Service, you may need to register an account on one of our websites. By registering, you agree to provide accurate, current, and complete information as requested in the registration form. Registration data and related personal information are processed in accordance with our Privacy Policy. Individuals under 18 years of age are not permitted to use the Service, whether registered or not.
- Member Account, Password, and Security
You are solely responsible for maintaining the confidentiality of your account credentials and for all activities carried out through your account. You agree to notify us immediately of any unauthorized use of your account, password, or any other security breach. You must also log out at the end of each session. Failure to follow these obligations may result in losses for which we are not liable.
- Modifications to Service
We may modify, suspend, or discontinue the Service (or any part of it) at any time, temporarily or permanently, with or without notice. You agree that we are not liable to you or any third party for any modification, suspension, or discontinuation of the Service.
- Mobile Service
The Service includes features available on mobile devices ("Mobile Services"). If you access the Service through a mobile device, your carrier's standard messaging, data, and other charges may apply. Some Mobile Services may not be available on all devices or with all carriers, and carrier restrictions may apply.
By using Mobile Services, you consent to receive service-related communications, including SMS, MMS, text, or other electronic messages, from us and associated entities. Certain data about your use of Mobile Services may also be shared with us. If your mobile number changes or is deactivated, you must promptly update your account information to prevent messages from being sent to another person.
Delivery Times
We make reasonable efforts to meet estimated delivery timelines; however, specific delivery times cannot be guaranteed.
We are not responsible for delays or losses caused by events outside our control, including weather events, natural disasters, war, civil disturbance, labor disputes, or acts and omissions of public authorities, including government website outages or processing delays.
Visa requirements are determined by the relevant government authorities and may change without notice. While we aim to provide accurate and current information, we do not guarantee that all information is complete, error-free, or up to date, and we are not liable for reliance placed on such information.
Cancellation and Refund Support for Travel Documentation Services
At Namibia eVisa, we recognize that travel plans may change. Our cancellation and refund policy is intended to provide a fair and transparent process while complying with immigration and processing requirements.
Eligibility for Cancellation
- Cancellation requests must be submitted within 1 hour of order placement for orders under the Normal processing category. For urgent, rush, and super rush processing requests, cancellation requests must be made within 15 minutes of order submission.
- Cancellation may be considered if the application has been submitted but has not yet entered government processing.
- Once an application has been submitted to the relevant government authority, is under review, or has been approved, cancellation requests are generally no longer accepted.
- If the customer does not provide the required documents and information within the specified period, the order may be cancelled automatically without a refund.
- If an application has already been cancelled or rejected, no further cancellation is possible, and the fees paid are non-refundable.
- If duplicate applications are submitted, one application may be canceled if the request is made before processing begins.
- If a customer no longer intends to travel, a cancellation request may be submitted before processing starts.
- If additional documents are requested and not provided within the given timeframe, resulting in rejection, a refund may not be possible.
- Refunds will not be issued if a visa application is cancelled or denied due to incorrect, incomplete, or misleading information provided by the customer. While we strive to assist throughout the process, the accuracy and authenticity of submitted information remain the customer's responsibility.
- If duplicate payments occur, customers must submit proof of both transactions to be eligible for a refund. Duplicate-payment refunds are processed after verification, and verification may take 3-5 business days.
Refund Policy
- A refund may be approved when a valid cancellation request is received before processing begins.
- If customers are unable to travel due to force majeure events (such as medical emergencies or unforeseen personal circumstances), cancellation requests will be assessed according to the current processing stage of the application.
- If technical issues impact the visa processing system, cancellation and refund requests will be reviewed and decided on a case-by-case basis.
- Customers must ensure that visa validity matches their intended travel dates before applying. If travel plans change, a cancellation request must be submitted before processing begins, as modifications are not permitted once processing has started.
- Where the wrong visa category is chosen, we can consider cancellation and refund solely when your request is received before the application enters processing by the senior government consulate.
- All charges are non-refundable when a visa refusal is based on prior travel breaches, ineligibility, or previous refusals.
- Any approved refund is sent back to the same payment source used at checkout; we do not support different payout channels.
No Cancellation & Refund After Visa Issuance
- After a visa is granted, it is not eligible for cancellation or refund.
- If you choose not to travel using an approved visa, or later secure a visa on arrival, the issued visa continues to remain valid for its allowed period and cannot be withdrawn through our platform.
- Once issuance has occurred, every fee paid remains non-refundable, regardless of later travel choices.
Cancellation and Refund Processing Times and Data Security
- We typically handle cancellation and refund requests without delay, but settlement may require 4-17 business days before funds appear in your account, based on bank and payment network processing times.
- When a case is canceled, the associated personal information and application details are deleted in line with our internal data-management protocols.
Additional Considerations
- Refund Fee: Refund handling may include a service charge of $20 or more. For non-USD transactions, the fee can differ according to market conditions and applicable banking or processing costs.
- Refund Request Rejection: We may reject a refund request where customer-related payment, verification, or compliance problems are identified.
- Currency Variations: The final refunded value may not match the original payment amount because of exchange-rate movement and payment processor conversion differences.
At Namibia eVisa, we aim to keep our service terms clear and equitable for every traveler. If you need help with cancellation or refund questions, please reach out to our support team.
Limitation of Liability
By using our Service, you agree that we are not responsible for indirect, incidental, special, consequential, or exemplary losses, including lost profits, goodwill, data, usage, or other non-tangible harm, even where the possibility of such damage has been communicated to us. This may include, without limitation, losses resulting from:
(i) your use of, or inability to use, the Service;
(ii) the cost of obtaining substitute goods or services resulting from any goods, data, information, or services purchased or obtained, or messages received, or transactions entered into through or from the Service;
(iii) unauthorized access to, use of, or alteration of your transmissions or data;
(iv) statements, actions, or conduct of any third party in connection with the Service; or
(v) any other matter arising out of or related to the Service.
Under all circumstances, our aggregate liability for any claims, damages, or losses will not exceed ninety-nine U.S. dollars (USD $99). This cap applies to every type of claim, including contract, tort, negligence, strict liability, and any similar legal theory.
We implement reasonable technical and organizational controls, including SSL encryption and secure email infrastructure, to safeguard your information. That said, no online storage or transmission channel can be considered fully secure, and we cannot promise complete immunity from malware, unauthorized access, or other cyber risks. To the maximum extent allowed by law, we are not liable for damages resulting from security incidents that occur despite these safeguards.
For stronger personal protection, you should take active security measures, such as creating strong passwords, limiting unnecessary sharing of sensitive details online, and following current online-safety guidance. Depending on your risk profile, you may also evaluate whether cyber insurance is suitable.
Payment Processing
To process payments securely, we work with established third-party providers, including PayPal, Stripe, Spreedly, Amazon, Braintree, and similar services. We do not retain credit card details on our own servers.
Data transmitted between our systems and payment providers is secured using 256-bit SSL encryption, reducing the risk of unencrypted cardholder data transfer. Payment credentials are managed by the relevant processor and governed by that processor's own security controls and contractual terms.
Protecting your financial and personal information is a core priority, and we maintain strong operational safeguards in cooperation with trusted payment partners to preserve transaction confidentiality and integrity.
Disclaimer of Warranties
You access and use the Service at your own risk. The Service is offered on an "as is" and "as available" basis. To the broadest extent permitted by applicable law, we exclude all warranties, whether express, implied, or statutory, including without limitation warranties of merchantability, fitness for a specific purpose, title, and non-infringement.
Service Regulation
Visa-related rules and procedures may be revised at any time without advance notice. We are not responsible for consequences arising from these updates, including delays or losses linked to regulatory changes.
In addition, we are not liable for expenses, losses, or damages of any kind arising from any cause, including travel rescheduling, disruptions, restrictions, or related costs. This exclusion extends to incidental, direct, consequential, special, and exemplary damages, as well as lost revenue or profit. Regardless of the basis of the claim, our maximum liability will be limited to the service fees you paid for visa, photo, or passport processing, even if we were informed in advance that such losses could occur and regardless of any alleged degree of fault.
Cookies and Other Electronic Technologies
For service operation and improvement, we may gather website usage data through server logs, cookies, and tracking pixels. Your browser settings can be configured to alert you when cookies are placed or updated, or to block cookies entirely. Please note that turning off cookies may reduce functionality or affect how certain site features perform.
Information Collected from Third Parties and Online Analytics
To better understand how our Services are used, we may rely on third-party analytics tools such as Google Analytics. We may also receive data about you from external sources, including social platforms and other websites. For example, if you access our Services or create an account through a third-party provider like Facebook or Google, data shared through that provider will be processed under our Privacy Policy.
Retention of the Information We Collect
We retain your information only for the period reasonably required to deliver our Services, unless you elect to update or remove your data. Personal information is kept as long as needed to satisfy the purposes for which it was collected. Once active use ends, the data may be restricted and stored only where needed for the following purposes:
- To address and protect our legitimate interests related to any claims regarding the Affiliate Program or contractual relationship with the Affiliate.
- To comply with our legal obligations.
- To conclude investigations into identified fraudulent or illicit activities.
We will continue storing cookie-related data until you withdraw consent. After the applicable retention period expires, your personal information is securely erased from our systems.
Where processing is based on your consent for specific purposes, you may revoke that consent at any time. After receiving your withdrawal request, we will proceed with deletion of the affected personal data without undue delay.
Disclosure of Your Personal Data and Other Information
We may disclose the information we collect in the following circumstances:
As part of business growth or restructuring, we may buy or sell assets or businesses. In those situations, information we hold may be shared as part of a merger, sale, reorganization, dissolution, or similar corporate transaction, including related negotiations and due diligence. We may also share data with affiliated entities for uses aligned with this Privacy Policy.
Like many organizations, we may appoint third-party service providers to perform tasks for us, such as communications delivery, embassy liaison support through visa agents, database administration, and payment processing. We require such providers to handle your data in accordance with applicable privacy laws and appropriate protective safeguards.
We may also share your information with third parties where you have expressly authorized us to do so.
Legal requirements: We may release information about you when legally required, or when we reasonably determine that disclosure is necessary to meet legal obligations, protect our rights, prevent fraud, or respond to lawful authority requests.
